For starters, projects start with such long notice because leaders try to get a lot of people and they try to establish everything on their own Accord to build a kingdom they believe will be good enough, these things take time, so for the recruiting and settling of main alliances and leadership, they start planning months and months before

People start at a common date for sleepers and native projects, so they can settle the alliances quicker than anybody else and they can get to building territory as soon as possible to expand before other projects that may have landed on same KD (mostly sleepers)
