dots doesn't work the same way as motion sensors, it doesn't simply catch the ghost walking through. the ghost has to decide it wants to appear on the dots before it will happen, even if it walks through and hits motion sensors on the way. think of it like the ghost writing book. the ghost randomly decides to interact with something, then randomly decides to interact with the dots rather than other things in the area

keep playing professional, once you know what the ghost is, find it on the cheat sheet and figure out what its behaviors and abilities are, then try to observe them happening in the game. do this for every game. eventually you'll start seeing the abilties and behaviors without needing to see them on the cheat sheet, because you're just more familiar with them. then you can bump it up to nightmare.

this is correct, you want to face the ghost at all times, keep your eyes on the ghost at all times, so you know when you need to smudge, or when you need to use a little bit of sprint. manage your sprint. try to not use it unless the ghost is going to get in a position where it'll be able to see you. keep yourself almost exactly opposite site of the counter from the ghost. its just harder when crouching to see the ghost, for sure, but if you can get the lights in the room turned on before the hunt starts you should be good
