Secret Techniques cooldown gets reduced by all haste sources, while Shadow Dances duration only gets increased by Haste Rating from gear or consumables. When using an on-use haste trinket, make sure to use it a bit before Shadow Dance to get the extended duration.
The recommended ~700 haste gives you two additional globals in Shadow Dance and Guidon will grant one extra on top of that.

Yeah, this is the reason for building muscle memory by really actively thinking about your actions and your decisions.
That way you won't need to look at any timers or listen for audio.
I'd say if one actively tries, they would be able to do the full CD sequence fully blind after an evening (if they go in with AA proc, else you need to listen to that effect/see the black boarders)
