Well the mail system gets clogged when the servers are very full because it has to sort them all out in a queue
But 3 days is extremely long.

Since in-lore, you're using them to expedite the crafting process.
Whether it's fire and water for cooking.
Wind for drying wood to prevent rot.

The selling of them was assuming you didn't need them, but I'm not sure if it's worthwhile to meld the current gathering gear unless you're aiming for some high-end nodes. To add to the answer based on this, you can also resubscribe for brief periods and then let it lapse, and although you won't be able to play the game, your account won't go anywhere, so you can pick it back up again as soon as you resub.
A large portion of the playerbase does exactly that.

Without meaning to come off as sardonic, the correct answer is "as appropriate". In dungeons that means that during trash pulls you cycle through them, and you should read their tooltips so you understand what they do and where to get the most use out of them.
Against bosses and in any content where there's only a single enemy, use them as necessary to defend against tankbusters and reduce the severity of high-damaging auto-attacks.

I make this clarification because tankbuster abilities are targeted to the party member with the highest aggro at the time, and if that person is not the main tank (or off-tank), it will not automatically target them and may in fact target someone far far squishier.
There are some boss abilities that do target specific roles.

which should be you, the tank, provided you have your stance on and aren't eating glue

The exp gain from between-campaign quests and dungeons is abysmally low, so if you only did MSQ, you'll actually stay fairly well on course. With the Road to 80 buff, you'll likely cap out far earlier, but that buff also makes it really easy to parallel-level classes using only MSQ.
