at some point you also unlock the ability to turn in requested items at your grand company once per day, that also gives a good chunk of exp, especially when you deliver HQ items

All combat retainers are completely identical in terms of items they can get
Miner and Botanist can gather everything that you have gathered, except for current expansion unspoiled/legendary items
Fishers can gather fish that you've fished, but they have a more limited selection

entirely depends on what materials you find yourself needing, but I do agree on one combat retainer as some materials can be annoying to grind for.
Just remember that retainers cannot level past what your level is for the class that they are
So if your botanist is only level 10, then your botanist retainer has a level cap of 10.
